Parent Handbook

ACES is dedicated to providing fun and unique experiences for children enrolled in our program. ACES will continue to offer field trips as part of the program but at this time, we cannot guarantee set field trip days. Being flexible on dates and times for field trips reduces the costs, keeping program fees affordable for families.

ACES is committed to providing children with enriching experiences. This does include field trips but will also include enhancing our on-site activities (including visitors and special events) for your child to participate in throughout the summer.

Vacation request forms must be submitted at least five (5) business days in advance. Please allow 5-7 business days for the request to be processed.

Consistent Care families receive five (5) vacation days during the summer session. Families with Pick Your Days contracts are not eligible for vacation days for the summer session.

Contract changes and contract withdrawal requests require a 2 week notice. Changes involving additional care dates may be accepted only if space is available. A $15.00 processing fee will be charged to your account for each change made to your child's contract.

The Federal Tax ID number and total tuition paid for the calendar year is available in a PDF document through your online account. This document is available after the 1st of January for the previous tax year. As payment information is considered private and confidential, tax information will only be available to the owner of the account. ACES will not add or remove owners/payers to tax documents. 

Mankato Area Public Schools Community Education & Recreation (CER) contracts with software providers to securely collect and maintain registration information. Data you provide is used only for the purposes of administering CER programs. This information is considered private and will be kept confidential, between CER and the registered account owner/payer. (Accounts can have multiple owners/payers.)

Effective July 9, 2019, student use of personal electronics such as cell phones or smart watches are prohibited at ACES. Personal electronic devices brought to ACES are required to be placed in student lockers, backpacks, or given to the Site Supervisor for safekeeping during program time. Students are allowed to wear smart watches at ACES as long as the device remains off during program time.

Before and After School ACES will run from September 5th, 2019-June 4th, 2020. Please note that certain dates ACES will only be open for Non School Day Care and or closed. Before school care opens at 6:30 AM and after school care closes at 6:00 PM.

In order to remain in compliance with Department of Human Services guidelines and meet the legal staff to child ratio, ACES is unable to accommodate additional Pick Your Day care options at this time. In addition, after school care at Eagle Lake, Franklin, Hoover, Kennedy, Monroe, Roosevelt, Rosa Parks, and Washington ACES is full for the 2019-2020 school year. Please contact the ACES billing office at (507) 387-5501 or aces@isd77.org to be added to the waiting list.

Online registration

Please be aware that we will ONLY be accepting online registrations moving forward. If you do not have access to a computer or internet, we will have Chromebooks available for families to use at the ACES Billing Office. Any paper registrations submitted to our office via email, mail, fax, or in person will not be accepted.

Non School Day Care:
For ACES families who are seeking care when school is not in session. Care is offered through the ACES program on most non-school days. ACES will be closed on major holidays. Only full day options are available.

ACES will offer care on the following non school days:
October 17 & 18
November 8, 26, & 27 
December 23, 26, 27, & 30
January 20 & 27
February 17 & 18
March 13, 26, 27, & 30 
April 9

ACES Sites and Billing office will be closed on the following non school days:

To cancel non school day care, please contact the ACES Billing Office at (507) 387-5501 or email at aces@isd77.org. Care must be cancelled by the registration deadline in order to receive a refund.

Calendars and payments are always due by the 15th of the month prior. A $15.00 late fee will be added to any calendar or payment received after the 15th deadline. Calendars will not be accepted as of the 1st of the month.

Add-a-days are for currently enrolled families who need to add a session of care not regularly scheduled. Add-a-day care is subject to office approval and is on a space available basis. Requests must be submitted at least two business in advance.

• School Year:
  • Children who are attending grades K-5 may register for the ACES program. 
• Summer:
  • Children who are entering Kindergarten may register for Little ACES. Children entering 1st through 5th may register for the ACES program.

• School Year:
  • If your child is registered for a Non School Day field trip, the program will provide your child with an ACES t-shirt to wear during the off site field trip. 
• Summer:
  • Children are required to wear their ACES shirt on field trip days or days off site. Rental t-shirts will be given to children who do not wear a field trip t-shirt on field trip days; a rental fee will be assessed to your account at the end of each week. 

• Eleyo is the online system that the ACES billing office and families use to register, request contract changes, view invoices, and make payments. 
• If you are needing assistance submitting or finding information on your Eleyo account, please refer to our Eleyo FAQ page.

• Please refer to the current school year information section for when Non School Day care will be provided to current ACES families.

• School Year:
  • ACES bills on a monthly basis and fees are always paid in advance. Payments are due by the 1st of every month. Late accounts will be charged a $15.00 late fee.
• Summer:
  • ACES bills on a bimonthly basis and fees are always paid in advance. Payments are always due the 1st and 15th of the month. Late accounts will be charged a $15.00 late fee. 

• If your child will not be attending because of a scheduled appointment, vacation, or other planned absence, contact the ACES billing office. 
• If your child is ill, text or call and leave a message on the ACES site cell phone. 

• During the School Year Session:
  • If Mankato Area Public Schools...
    • delay the school start time, morning ACES will be closed. 
    • dismiss early, afternoon ACES will be closed.
    • close for the entire day, ACES will be closed completely. 
• During Non School Days & Summer Session:
  • The Community Education & Recreation Director is the defining authority in the event of severe weather/school closings. During the off site field trips, travel decisions will be made at the discretion of the ACES program coordinator and the bus company/drivers. Staff will contact parents regarding closings due to inclement weather. Postings will also be made on the Community Education & Recreation website and Facebook page.
