ACES School Age Child Care

ACES School Age Care Program offers multiple convenient locations for families throughout the Mankato Area Public School service area. ACES has consistent hours, opening at 6:30am and closing at 6:00pm, offering families the option for quality care for their child(ren) before school, after school, and all day on non-school days and during the summer. ACES serves students enrolled in Kindergarten through Fifth grade.

ACES recognizes that every student is an individual and is committed to providing an inclusive environment for all. ACES provides everything your child needs to have fun in a safe and well-supervised environment, with caring and professional staff.

ACES locations are Certified Child Care Centers under the Department of Human Services, subject to the standards of Minnesota Statues, Chapter 245H. Under this certification, ACES adheres to strict guidelines in the areas of health and safety standards, emergency preparedness, staff training, staff to student ratios and maximum group sizes.

The fees for school year include an after school snack. The fees for summer include breakfast, lunch and an afternoon snack.

Afternoon care at at sites are full for the 18-19 School Year. Please contact our office to be added to a waiting list! If you are looking to register for morning care, please fill out the paper registration form below and return it to the ACES Billing Office.

Before & After School
For families who are seeking care beyond normal school hours. Before school care opens at 6:30 am and after school care closes at 6:00 pm. Register for before school, after school, or both! There are multiple schedule options available to fit all your care needs.


Please Note!
ACES sites do NOT accept registration forms or payments. All paperwork and payments must be returned to the main ACES billing office at the Lincoln Community Center. 

You may email, fax, or mail paper registration forms in. We STRONGLY advise that you check with our billing office that your form has been received.Registrations submitted after the deadline will have a start date of 2 weeks after the billing office receives your form.  


Data Privacy & Confidentiality
Mankato Area Public Schools Community Education & Recreation (CER) contracts with software providers to securely collect and maintain registration information. Data you provide is used only for the purposes of administering CER programs. This information is considered private and will be kept confidential, between CER and the registered account owner/payer. (Accounts can have multiple owners/payers.)  


Year End Financial Information
The Federal Tax ID number and total tuition paid for the calendar year is available in a PDF document through your online account. This document is available after the 1st of January for the previous tax year. As payment information is considered private and confidential, tax information will only be available to the owner of the account. ACES will not add or remove owners/payers to tax documents.

The Little ACES Summer Program is for students entering Kindergarten. ACES Summer Program is for students entering 1st - 5th. Although there will be fewer sites offered this Summer, ACES will continue to serve the same number of kids as previous Summers.

Summer ACES Field Trips

ACES is dedicated to providing fun and unique experiences for children enrolled in our program. ACES will continue to offer field trips as part of the program but at this time, we cannot guarantee set field trip days. Being flexible on dates and times for field trips reduces the costs, keeping program fees affordable for families.

ACES is committed to providing children with enriching experiences. This does include field trips but will also include enhancing our on-site activities (including visitors and special events) for your child to participate in throughout the summer. 

Summer field trips have not been solidified at this time. Please check back in May for a complete list of field trip dates, times and destinations.

Summer Vacation Day Request

Vacation request forms must be submitted at least five (5) business days in advance. Please allow 5-7 business days for the request to be processed.

Consistent Care families receive five (5) vacation days during the summer session. Families with Pick Your Days contracts are not eligible for vacation days for the summer session.

Contract changes and contract withdrawal requests require a 2 week notice. Changes involving additional may be accepted only if space is available. A $15.00 processing fee will be charged to your account for each change made to your child's contract.

Non School Day Care

Non School Day Care:
For ACES families who are seeking care when school is not in session. Care is offered through the ACES program on most non-school days. ACES will be closed on major holidays. Only full day options are available.

Pick Your Day Calendars

Calendars and payments are always due by the 15th of the month prior. A $15.00 late fee will be added to any calendar or payment received after the 15th deadline. Calendars will not be accepted as of the 1st of the month.

Add-a-days are for currently enrolled families who need to add a session of care not regularly scheduled. Add-a-day care is subject to office approval and is on a space available basis. Requests must be submitted at least two business in advance.

Consent for Administration of Medication Form - This form must be filled out and returned to the ACES site before your child's first day. The consent for administration of medication form must be renewed each ACES session. Written parent permission and written physician orders are required before any medication is dispensed during the ACES program. Medications must be in their original container with proper label. Site Supervisors do not have access to the school nurse's office. Parents are responsible for transferring medication to the Non School Day/Summer Sites.

How do I change my child’s ACES schedule?
There are two different ways that you can submit a contract change. Contract changes must be submitted in writing per the “Contract Change Form” or through your online ACES account. Contract changes require a two week notice that begins from the date we receive the request. There is no charge for the first change; subsequent changes will be assessed a $15 processing fee. 
 
Can my child attend on a day not regularly scheduled? 
Children enrolled in the ACES program can attend on a non scheduled day as long as there is space available. These days will be considered drop in care and charged at the drop in rate. 
 
Is ACES in session on non-school days?
ACES is open on many days when school is not in session. For a full list of non school days, check the School Year tab. Children currently enrolled in the ACES program have the option to register for the non school day activities. If a field trip is planned, all children must attend the field trip. Care will not be provided onsite during field trip events. Parents can register their children for half or full day care. Registration forms will be available approximately 3 to 4 weeks prior to each non school day. To receive a full refund, parents must cancel their registration no later than the posted deadline; registration deadlines are final.
 
How does the ACES program bill families?
ACES bills on a monthly basis and fees are always paid in advance. Invoices are generated and emailed by the 20th of the month prior; payments are due by the 1st of every month. Late accounts will be charged a $15.00 late fee. 
 
How do I get copies of previous monthly invoices/receipts for my Flex Reimbursement Plan?
Copies of all invoices and receipts are available to download through your online account. Paper copies may be requested and picked up from the ACES billing office at the Lincoln Community Center. A year-end statement will be available to families through their online account in January for tax purposes. 
 
Do I need to notify the ACES program if my child will not be attending?
Yes, ACES sites do require notice when a child is not attending. If your child will not be attending because of a scheduled appointment, vacation, or other planned absence, contact the ACES billing office in advance. If your child is ill, text or call and leave a message on the ACES site cell phone. If a child does not arrive at ACES as intended, the site supervisor will:
1. Contact the parents at home and/or at work.
2. Contact the school to see if the child was in attendance.
3. Call the authorities if no one knows the whereabouts of the child. 
Due to the amount of time involved in trying to find children when staff have not been notified of their absence, a $15.00 Finder’s Fee will be assessed. 

What if I am unable to pick up my child by 6:00 pm?
If an emergency delays you and you are unable to pick up your child on time, arrange for an authorized pickup person to pickup your child and call the program staff immediately. 
In the event that your child is still at the program after closing time and we have not heard from you, ACES staff will take the following steps: 
1. Attempt to reach you at home, work or on your cell. 
2. Call the people listed as authorized pick ups.
3. If you are more than 30 minutes late, the police will be contacted for assistance. 
A late fee of $1.00 per minute will be charged to your account. Continued late pickups may result in removal from the program. 
 
What happens in the event of Severe Weather/School Closings?
During Non School Days & the Summer Session:
The Community Education & Recreation Director is the defining authority in the event of severe weather/school closings. During offsite field trips, travel decisions will be made at the discretion of the ACES Program Coordinator and the bus company/drivers. Staff will contact parents regarding closings due to inclement weather. Postings will also be made on the Community Education & Recreation website and Facebook page. 
During the School Year Session:
If Mankato Area Public Schools… 

  • delay the school day start time, morning ACES will be closed
  • dismiss early, afternoon ACES will be closed 
  • close for the entire day, ACES will be closed completely

Refunds will be issued within 10 business days in the form of an account credit to those who attended on these days. 
 
How old does my child have to be to attend the ACES program?
During the school year session children who are attending grades K-5 may register for the ACES program. During the summer session, children who are entering Kindergarten may register for Little ACES. Children 1st-5th grade may register for the ACES program. Children entering 6th-8th grade may register for the Connections program.
 
When does my child need to wear an ACES t-shirt?
During the school year session—if your child is registered for a non school day field trip, the program will provide your child with an ACES t-shirt to wear during the offsite field trip. 
During the summer session—Children are required to wear field trip t-shirts on days they will be offsite. Parents may purchase t-shirts at the time of registration for $7.00 per shirt. The ACES program puts in a mass t-shirt order one month prior to the summer session. Rental t-shirts will be given to children who do not wear a field trip t-shirt on field trip days; a $5.00 rental fee will be assessed to your account at the end of each week.  

Am I able to switch around my regular scheduled days?
No. If your child does not need to attend on a scheduled day and you know more than 5 business days in advance, you may request a vacation day. Vacation days must be submitted in writing per our vacation request form located on the Mankato Community Ed website. If your child needs to attend on a non scheduled day, they may do so as long as there is space available; the day will be charged at the drop in rate.
